1. Where appropriate, Goods & Services Tax (GST) is applicable to all goods and services offered by the Conference Managers and all prices in this document are exclusive of GST. GST is calculated at the date of publication of this document. The Conference Managers reserve the right to vary the quoted prices in accordance with any movements in the legislated rate of the GST.
2. Partnership Inclusions will be allocated only on receipt of the signed Partnership Agreement. The Tax Invoice will be sent following the signed agreement, payment must be made within 14 days of receiving the invoice.
3. All monies are payable in Australian dollars.
4. All monies due and payable must be received by the Conference Managers prior to the event. No organisation will be listed as a sponsor in official conference material until full payment and agreement have been received by the Conference Managers.
5. CANCELLATION POLICY: Should a cancellation be made prior to payment being made, 100% of the amount payable will be applied as the cancellation fee. The Conference Managers will issue an invoice which will be payable within seven (7) days.
6. Public and Product Liability Insurance (PLI) to a minimum of A$20million must be taken out by Conference partners at their own expense. A copy of the organisation’s PLI certificate must be submitted at the time of booking or no later than Friday, 5 February 2027.
7. If the partner intends to install a custom-built stand as part of their exhibition inclusion, the Conference Managers must be advised, and such advice must include full details and stand dimensions. This information must be received no later than Friday, 16 January 2027. All display construction requires the approval of the Conference Managers and venue management. A pro rata fee will apply if any construction occupies space outside the specified space as indicated on the floor plan.
8. The Conference Managers reserve the right to rearrange the floor plan and/or relocate any exhibit without notice. The Conference Managers will not discount or refund for any facilities not used or required.
9. No partner shall assign, sublet or apportion the whole or any part of their included exhibition space except upon prior written consent of the Conference Managers.
10. Delegate List may be used by the Sponsor for contacting Conference delegates only. This list must not be used for the purpose related to future Events and shall not be transferred in whole or in part to any third party. The delegate list can be used up to a twelve-month period from the start date of the event. **The delegate list will exclude any delegates who have withheld permission to publish their details in accordance with the Australian Privacy Act.
11. Privacy Statement – Yes, I consent to my details being shared with suppliers and contractors of the event to assist with my participation, being included in participant lists and for their information distribution in respect to other relevant events organised by Child Australia.
12. The Exhibitor indemnifies and holds harmless the Exhibition Managers, other Exhibitors and Optus Stadium against any liability, loss, damage, cost (including the cost of any settlement and legal costs and expenses on a solicitor and own client basis), compensation or expense arising out of or in any way in connection with any negligent actions or omissions of the Exhibitor including but not limited to:
– A default or any unlawful, wilful, or negligent act or omission on the part of the Exhibitor; and
-Any claims for damage, loss, harm or injury to person, property, or business of other exhibitors or any of their visitors, officers, agents, employees, or other representatives, resulting from any negligent act or omission of the Exhibitor; and
-Any action, claim, dispute, suit or proceeding brought by any third party in respect of any infringement or alleged infringement of that third party’s Intellectual Property including moral rights by the Exhibitor.
